Job Summary

The operations officer supports the smooth daily functioning of the DARPE platform through strong customer management, clear communication, excellent English skills, and proficient use of online tools and applications.

The role requires an organized, detail‑oriented professional able to handle multiple administrative tasks, coordinate schedules, manage information, and assist internal teams. The ideal candidate has excellent English (reading and writing), solid computer and online application skills, and demonstrates proactivity, accuracy, and professionalism in a fast‑paced work environment.

Responsibilities

  1. Communicate with customers, external consultants, and online service providers through email, chat, and phone to relay task orders, resolve issues, and coordinate payments receipts using online tools.
  2. Manage customer profiles, monitor subscription expiry and renewals, issue invoices, process payments, and support customer retention by addressing inquiries promptly.
  3. Coordinate internal and external communications, including responding to inquiries, scheduling calls, and managing email correspondence.
  4. Assist in creating and distributing newsletters and email marketing campaigns using platforms such as MailChimp.
  5. Perform website data entry, database updates, and record management to ensure information is accurate and up to date.
  6. Support the organization and logistics of meetings, webinars, training sessions, and events.
  7. Prepare, organize, and maintain electronic records, accounting documents, insurance files, and other administrative documentation.
  8. Execute additional administrative and operational duties as assigned.

Qualification and Experience

  • Bachelor’s degree or equivalent — business administration, communications, marketing, sales, international development, or a related field.
  • 3-5 Previous administrative or customer‑service experience — strongly preferred; aligns with communication and coordination duties. Experience with international organizations, development consulting firms, NGOs, or the wider development‑aid sector is an advantage.
  • Excellent English (reading, writing, and communication) — needed for customer communication, email correspondence, marketing content, and coordination with external consultants.
  • Proficiency in Microsoft Office or Google Workspace (Word/Docs, Excel/Sheets, Outlook/Gmail) — core requirement for administrative documentation and communication
  • CRM or subscription‑management systems — for tracking customer profiles, renewals, invoices, and payment receipts
  • Strong email and chat communication skills — using platforms such as Gmail, Outlook, Teams, Slack, or similar tools.
  • Online tools for payments and invoicing — familiarity with digital payment gateways, invoicing systems, and receipt tracking.

  • Virtual meeting tools — Zoom, Teams, Google Meet for webinars, training sessions, and events.
